Carrier check
No rate con goes out until the carrier checks out.
The AI agent checks every carrier against FMCSA, the documents on file and your onboarding rules. Something off? It stops and asks your rep. It doesn't talk itself into a booking.
- Operating authorityMC active · granted 14 months ago
- InsuranceAuto and cargo on file · valid through delivery
- Phone number doesn't matchQuote came from (469) 555-0182. FMCSA record lists (806) 555-0147
- Email free domainQuote came from a Gmail address · record shows @redmesalogistics.example
- Number on record says noCalled (806) 555-0147. Owner says they have no truck in Dallas
Someone may be using Red Mesa's MC. I have not sent a rate con or the pickup details. Drop them and add the (469) number to your do-not-use list?
Before every tender
The same checks, on every carrier, every time.
Fortieth load on a busy Friday, truck ready now: steps get skipped. The agent runs the full check every time, even on carriers who've hauled for you for years. Insurance can lapse between loads.
- FMCSA records and the documents you hold
- Your onboarding rules and do-not-use list
- Every result saved on the load
- Authority active, and old enoughMC active since 2019 · your rule: at least 12 months
- Insurance on file and matchingCOI names Singh Bros Transport LLC · auto $1M, cargo $100k · expires March 2027
- Phone and emailMatch the FMCSA record and your onboarding packet
- AddressSame physical address as the record and the W-9
- Safety signalsSatisfactory rating · no out-of-service order in public records
- Your rulesOnboarding packet complete · dry van approved · not on your do-not-use list
Checked 13:08, two minutes before the rate con.
Authority
Active today? Carrier authority, not just broker? How old? If your rule is "nothing under a year", a nine-month MC goes to your rep, whatever the rate.
Insurance
Current COI? Named insured matches the legal name? Limits meet your rules? A policy expiring before delivery is flagged before booking.
Contact details
Phone and email on the quote are matched to FMCSA and your onboarding packet. A new number on an old carrier is a classic stolen-identity sign.
Address
Matched to the record and the W-9. An address shared with a carrier on your do-not-use list goes to your rep.
Safety signals
Safety rating and out-of-service orders. Your rep decides how much they count. Nobody books without seeing them.
Your rules
Equipment, onboarding packet, cargo limits for high-value freight, do-not-use list. Applied the way you wrote them.
Double brokering and identity theft
It watches for the signs your reps learned the hard way.
Fraud looks like a normal carrier with one detail off. The agent looks for that detail on every quote and message, not just at onboarding.
A changed phone number
A known carrier quotes from a new number. The agent calls the number on the FMCSA record and asks if the quote is theirs.
A free email domain
Gmail where the record shows a company domain, or "send the rate con here instead". Flagged. The rate con goes only to the email on record.
A dispatcher who won't confirm
Quotes fast, but won't confirm the MC or take a call on the number on record. The agent asks straight and logs the answer.
A different carrier at pickup
The name on the door or the USDOT number on the cab doesn't match who you booked. That's double brokering at the dock.
What the check is, and what it isn't. It checks public records, your documents and your rules, and brings every mismatch to your rep. It lowers the odds a bad carrier gets your load. It can't promise fraud never happens. The call on a doubtful carrier is your rep's.
When something doesn't match
It stops and asks. The truck doesn't get the load details.
No rate con, no pickup number, no shipper address. Your rep gets what doesn't match and where each fact came from, then decides: look closer, ask for documents, or drop them.
- Rate con only after the check passes or your rep clears it
- Sent to the email on record, never a new one
- The next carrier keeps getting worked
- You approved Gurpreet at $1,700
- Carrier check passed. Results saved on the load
- Rate con sent to the email on record: $1,700 all-in, detention after 2 hours free, TONU terms
- Signed by Gurpreet Singh
- Pickup number and shipper address sent, now that the rate con is signed
Pickup day
The truck at the dock is the truck you booked.
Before loading, the agent matches driver, tractor, trailer and the name on the door against what the carrier confirmed. A photo from the driver or a word from the dock. Authority and insurance checked once more that morning.
- A mismatch goes to your rep before loading
- The dock gets driver and truck number in advance
| Booked | At the dock | |
|---|---|---|
| Carrier | Lone Star Freight | "JR Transport" on the door |
| Driver | Ray Medina | Ray Medina |
| Tractor | 118 | 4471 |
| Trailer | 53117 | 53117 |
The truck at Lancaster isn't Lone Star's. I asked the dock to hold loading. Mike isn't answering. Call him yourself, or cancel and send the backup?
Your rules
Write your rules once. They run on every load.
We take your onboarding rules as they are: a doc, a spreadsheet or a call with your compliance person. Some examples:
| Your rule | What the agent does |
|---|---|
| No authorities younger than 12 months | No tender. A good quote from one goes to your rep |
| Cargo insurance at least $100k, $250k for electronics | Checks the COI limit against the commodity |
| Signed onboarding packet before the first load | To your rep for onboarding. No tender until it's done |
| No co-brokering, ever | Rate con with your no-reassignment terms, plus the pickup-day match above |
| Do-not-use list | Never contacted. A quote from a listed phone, email or address is flagged |
| New contact details need a call to the number on record | Calls the number on record, logs who confirmed and when |
