AI and your team
The agent does the chasing. Your reps keep the decisions.
The AI agent calls, chases and checks on every load. Your reps pick the carrier, decide what you pay and charge, and talk to the shipper when it goes wrong.
You set the limits. You can step in any time.
Who decides what
What it does alone. What needs your OK.
That's the default. Move more steps to "needs the rep's OK" by lane or carrier. Money always stays with your rep.
| Step | The agent, on its own | Needs your rep's OK |
|---|---|---|
| Finding a truck | Calls, texts and WhatsApps your carriers, posts to your load board, follows up | Carriers not on your list or not onboarded |
| Rate | Negotiates toward your target, inside your max | Anything over the max |
| Booking | Ranks offers, suggests one, says why | Every booking |
| Carrier check | Every check, before every tender and on pickup day | Any mismatch. The agent stops until your rep decides |
| Rate con | Sends it on your template after the OK, chases the signature | Changes to your terms |
| Tracking | Check calls, ETAs, routine shipper updates | A fall-off or breakdown that needs a decision |
| Appointments | Moves appointments inside your rules, tells the shipper | Anything that adds cost: layover, missed delivery day |
| Extra charges | Collects times, receipts and approvals as proof | Detention, lumper, TONU and layover amounts |
| Paperwork and pay | Gets the POD, checks the invoice against the rate con, preps QuickPay and the shipper packet | Every payment and every shipper invoice |
Your limits
Set the limits once. The agent keeps to them on every load.
We set them up with you from how your desk works now. Change them later in plain words: "for Northfield loads, always ask me before booking".
- Max rate: from the tender, or per lane and customer
- Carriers: your list, your preferred ones first, never the do-not-use list
- Lanes: which lanes and customers the agent takes
- Approvals: what needs a rep's OK, and which rep gets the question
Stepping in, handing back
Jump into any conversation. Hand it back when you're done.
Some carriers want a person. Some deals need your word. Write in the carrier chat in English. The agent pauses and sends it in the carrier's language.
Say you're done. It picks up from there, with the deal on the load.
- Take over a whole load and give it back later
- After you hand back, it tells you what it changed
2100 or I pass. that lane is dead coming back
Sarah joined the chat · the agent paused
Mike, I can do 1,950 and I've got a Little Rock to Dallas reload for you Friday.
with the reload ok. 1950
done, book him and send the RC. hold the friday reload for him
The agent is back · $1,950 saved · carrier check running · Friday reload 4140 held for Lone Star
When it calls you
It knows when a load needs a person.
No guessing on the hard moments. Your rep gets what happened, what it knows and what it suggests.
An unhappy shipper
Threatening to pull freight, asking for "whoever is in charge". That shipper gets your rep, not another polite update.
A claim
Damage, shortage, a refused load, a seal that doesn't match. The agent gathers photos and times. Your rep handles the claim.
A carrier that doesn't check out
A changed phone, a new email, a different truck at the dock. The agent stops. Your rep decides.
Anything unclear
A message it can't read for sure, a request outside the rules. It asks instead of guessing.
What happened: the receiver in Memphis refused 2 of 22 pallets as crushed. What I know: the driver has 6 photos, the BOL showed 22 clean pallets at loading, seal intact on arrival. What I suggest: call the shipper before they hear it from the receiver. I've held the driver at the dock for your answer.
On the record
Every step, who took it, and why.
Every call, text, quote and decision is on the load: time, recording or transcript, agent or rep.
Carrier disputes the rate? Shipper asks about Tuesday? The answer is in the thread.
- Agent: offered Gurpreet $1,650, he answered $1,700 final
- Agent: carrier check passed, results saved
- Sarah: approved Singh Bros at $1,700
- Agent: rate con sent, signed at 13:14
- Sarah: approved Andriy at $1,800 after the fall-off
- Sarah: approved detention $75, lumper $150
Agent steps and rep decisions in one timeline. Each opens the call, message or document behind it.
The time you get back
Your reps cover more loads with the same team. And spend the day on what needs a person.
The agent doesn't replace the people who know your shippers and carriers. It takes the chasing off them.
Shippers
Next week's freight, new business, the call when it matters.
Problem loads
The claim, the refused load, the receiver who won't take the truck.
New lanes
Carriers on lanes you don't run yet. Freight you used to pass on.
